Software Licensing


Microsoft now requires that all customers transition to subscription-based licensing. This ensures that only those individuals with an active GCCCD status can use the Office and Windows licenses purchased by the District. This new licensing model went into effect January 16, 2023.

Permanent Employees (Part-Time and Full-Time), Substitute, Interim and Foundation Employees are granted a Microsoft 365 Education A3 License  

  1. This license type is like an A1 license (explained below) but allows installation of Microsoft 365 Apps for Education on your workstation. This will include Bookings, Forms, Planner, Stream, Sway, To-Do, and Whiteboard. It will eventually include Teams. 
  2. This license type grants a 100GB Exchange Mailbox. 

Adjunct Faculty are granted a Microsoft 365 Education A1 License 

  1. This is a license type that grants access to Microsoft 365 Apps for Education through a web browser. It includes an Exchange Mailbox with 50GB of storage, access to SharePoint Online, OneNote and OneDrive (and Teams once deployed). This license type does not have access to Bookings.
  2. Note that most campus workstation computers have Microsoft 365 installed and as such, adjunct faculty using these computers will have access to Word, Excel, PowerPoint, etc in order to do their work.

Temporary workers (Student Workers, NANCE, Professional Experts, etc.) will also be granted a Microsoft 365 Education A1 License   

  1. This is a license type that grants access to Microsoft 365 Apps for Education through a web browser. It includes an Exchange Mailbox with 50GB of storage, access to SharePoint Online, OneNote and OneDrive (and Teams once deployed). This license type does not have access to Bookings.
  2. Note that most campus workstation computers have Microsoft 365 installed and as such, most temporary employees using these computers will have access to Word, Excel, PowerPoint, etc in order to do their work.  

Retirees will be granted a Microsoft 365 Alumni License 

  1. This license type provides access to an Exchange Mailbox with 50 GB of storage.
  2. This license does not have access to Microsoft 365 Apps or Bookings. 
  3. If a retired employee is active (has a current assignment), they will be granted an A1 license.

Students are granted a Microsoft 365 Student A3 License 

  1. Currently enrolled students will receive the full Microsoft 365 Student A3 license, there are no licensing changes planned for currently enrolled students.
  2. Students who are not currently enrolled are moved to an Alumni license. Once a student re-enrolls, they are moved back to the Student A3 license. The Alumni license provides access to an Exchange Mailbox with 50 GB of storage. This license does not have access to any Microsoft 365 Apps.
